Definitions
- "Vexeom", "we", "us", "our" — the operator of this Platform at vexeom.com.
- "Platform" — the website vexeom.com, all subpages, associated digital tools, assessments, and reports.
- "Report" — the Vexeom Pilot Intelligence Report and any AI-generated derivative documents produced by this Platform.
- "Assessment" — any questionnaire, snapshot test, or data-input form on this Platform.
- "User", "you", "your" — any individual accessing the Platform or purchasing a product.
- "Member" — a User who has purchased a subscription tier (Altitude, Vantage, or Citadel).
- "Indicators" — the ten scored career risk dimensions produced by the Vexeom assessment engine.
- "Failure Chain" — the causal risk pathway analysis produced within Reports.
- "AI System" — the automated large language model infrastructure used to generate Report content.
- "Digital Content" — Reports and any other electronically delivered outputs produced by this Platform.
- "Consumer" — a User acting outside of any trade, business, or profession, as defined under the Consumer Rights Act 2015.
Nature of Service — What Vexeom Is and Is Not
Vexeom is not any of the following
- A medical device as defined under UK MDR 2002, EU MDR 2017/745, or any equivalent national framework
- A Class I, II, or III medical product under any regulatory framework
- A clinical mental health, psychological, or neurological diagnostic tool
- A service provided by or affiliated with the UK Civil Aviation Authority (CAA)
- A service provided by or affiliated with the European Union Aviation Safety Agency (EASA)
- A service provided by or affiliated with the Federal Aviation Administration (FAA) or ICAO
- A regulated financial advisory or investment service under FCA rules
- An aeromedical assessment under CAA or EASA Class 1, 2, or LAPL medical standards
- A fitness-to-fly determination or pilot licence suitability assessment
- A fatigue risk management system (FRMS) under EASA FTL (EU 965/2012) or UK FTL
- A replacement for any regulatory, employer, or medical process
- A substitute for professional legal, financial, or medical advice
Reports are informational intelligence documents intended solely to support your personal career awareness and planning. No Report constitutes a recommendation to take or avoid any regulatory, medical, financial, or professional action.
Health, Medical, and Psychological Disclaimer
Indicators within Vexeom Reports — including Recovery, Fatigue, Cognitive Load, Stress, and Circadian Stability — are self-reported career awareness dimensions only. They are not clinical measurements and do not constitute a diagnosis, prognosis, or medical assessment of any kind.
Vexeom does not assess your fitness to fly. Only a licensed Aviation Medical Examiner (AME) can assess medical fitness under CAA, EASA, or FAA aeromedical standards. Vexeom outputs must never be submitted in connection with any aeromedical examination, Class 1 or Class 2 medical certificate application, or LAPL medical self-declaration.
Vexeom accepts no liability whatsoever for any health decision, clinical conclusion, or action taken based on Report content or any other material on this Platform.
No Guarantee of Career Outcomes
Vexeom makes no representation, warranty, or guarantee — express or implied — that use of the Platform or receipt of any Report will result in any career outcome, including but not limited to:
- Successful completion of flight training
- Passing any CAA, EASA, FAA, or airline selection assessment
- Obtaining a pilot licence, type rating, or instructor qualification
- Employment by any airline, operator, or aviation organisation
- Improved performance in any training, simulator, or operational environment
- Prevention of training dropout or career failure of any kind
Industry statistics cited on this Platform — including dropout rates, pilot demand forecasts, and screening data from Boeing, EASA, CAA, and ICAO — are provided for contextual awareness only. Vexeom does not warrant the accuracy, completeness, or continued validity of any third-party data.
Eligibility and Age Requirement
Under UK law, individuals under 18 lack full contractual capacity. Any subscription or purchase entered into by a minor is voidable. Vexeom will not knowingly process payments from or deliver Reports to users under the age of 18.
You must also have the legal right to enter into contracts in your country of residence. By using this Platform, you represent and warrant that you meet all eligibility requirements applicable to you.
Self-Reported Data — Accuracy and Limitations
All assessment outputs are derived entirely from data you input. Vexeom does not independently verify, cross-reference, or validate any information you submit. The quality and accuracy of any Report is directly and entirely dependent on the accuracy of your responses.
Vexeom accepts no liability for inaccurate, misleading, or incomplete outputs caused by inaccurate, misleading, or incomplete input data. If you provide false or exaggerated responses, your Report will not reflect your actual circumstances and must not be relied upon.
You warrant that all information submitted to the Platform is truthful, accurate, and your own. You must not submit assessments on behalf of another individual without their explicit, informed, and documented consent.
Data Collection, Privacy, and Use
Vexeom operates in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The following sets out how we collect, use, store, and retain your personal data.
Data we collect
- Your name and email address provided at time of purchase or assessment
- Your assessment responses across all questions submitted
- Your scored indicator results and Report outputs
- Device, browser, and IP data collected automatically via essential Platform cookies
- Analytics data (only where you have provided explicit cookie consent)
How your data is used
- To generate and deliver your Report
- To maintain your membership account and score history
- To build anonymised, aggregated industry datasets — your identity is never published
- To improve the Platform scoring models and AI-generated report quality
- To contact you regarding your membership or material Platform changes
Data retention
We retain your personal data for as long as your account is active. Following account closure or cancellation, personal data is retained for a maximum of 24 months for legal compliance and dispute resolution purposes, after which it is permanently deleted or anonymised. Anonymised assessment data may be retained indefinitely as part of the aggregated Vexeom industry dataset.
Cookie policy
Essential cookies are strictly necessary for Platform operation and are active by default. Analytics cookies are only activated with your explicit consent via the cookie banner. You may withdraw analytics consent at any time by contacting info@vexeom.com. Withdrawal does not affect the lawfulness of processing prior to withdrawal.
Third-party processors
- Stripe — payment processing, governed by Stripe's privacy policy
- Vercel — Platform hosting and infrastructure, governed by Vercel's privacy policy
- Anthropic — AI report generation. Assessment data is processed by Anthropic's API infrastructure in accordance with their data processing terms
Your rights
Under UK GDPR you have the right to: access your personal data; request correction of inaccurate data; request deletion (subject to legal retention obligations); object to processing; and lodge a complaint with the ICO at ico.org.uk. Contact info@vexeom.com to exercise any right. We will respond within 30 days.
AI-Generated Content and Automated Processing
The Platform uses a large language model (LLM) AI system to generate Report content from your assessment responses. This is a fully automated process with no human involvement in generation or review prior to delivery.
Limitations of AI-generated content
- AI-generated content may contain errors, inconsistencies, or outputs that do not accurately reflect your individual circumstances
- The AI system has no access to external databases, flight records, medical histories, or employer data
- AI outputs are probabilistic, not deterministic — the same inputs may produce varied outputs across sessions
- AI-generated Reports must not be treated as authoritative, definitive, or clinically valid assessments
- Vexeom accepts no liability for decisions made in reliance on AI-generated content
Your assessment data is transmitted to Anthropic's API infrastructure for Report generation. By using this Platform, you consent to this processing. Anthropic's data handling is governed by their own data processing agreement.
Right to human review
Where automated processing produces outputs that significantly affect you, you have the right under UK GDPR Article 22 to request human review. Submit requests to info@vexeom.com within 14 days of Report delivery. We will respond within 30 days. Human review does not guarantee a different outcome and does not constitute professional advice of any kind.
Subscriptions, Payment, and Refund Policy
Subscription tiers
- Altitude — £99 per month (individual, student and aspiring pilots)
- Vantage — £299 per month (commercial pilots and senior aviation professionals)
- Citadel — £799 per month (organisations, 25 member seats)
Billing
All subscriptions are billed automatically on a monthly recurring basis from the date of purchase. Payments are processed by Stripe. By completing a purchase, you authorise Vexeom to charge your nominated payment method monthly until you cancel.
Cancellation
You may cancel at any time by contacting info@vexeom.com. Cancellation takes effect at the end of the current billing period. No partial-month refunds are issued. You retain Platform access until the period ends.
Digital content — cooling off waiver
Refund policy
Vexeom operates a strict no-refund policy on all delivered Digital Content. Once a Report has been generated and delivered, it is non-refundable, regardless of whether you read, used, or were satisfied with the content.
In the event of a verified technical failure preventing Report delivery within the stated timeframe, Vexeom will re-deliver the Report or issue account credit at its sole discretion. Dissatisfaction with Report content does not constitute grounds for a refund.
Price changes
Vexeom reserves the right to amend subscription pricing at any time. Active Members will receive not less than 30 days written notice of any price change. Continued use after the effective date constitutes acceptance.
Failed payments
If a scheduled payment fails, Vexeom reserves the right to suspend Platform access until payment is resolved. Continued non-payment may result in account termination. Outstanding balances remain due.
Command Tier — Bespoke Engagements
The Vexeom Command tier is a bespoke engagement available by private application only, with a minimum engagement value of £50,000. Command engagements are subject to a separate bespoke services agreement issued by Vexeom at the time of engagement. These Terms apply in addition to any bespoke agreement unless explicitly superseded in writing by a signed contract.
Submission of a Command application does not constitute an offer, acceptance, or commitment by either party. Vexeom reserves the right to decline any application without explanation or obligation.
Intellectual Property
All content on this Platform — including the Vexeom scoring methodology, indicator framework, failure chain analysis system, report templates, AI prompt architecture, website design, copy, and branding — is the exclusive intellectual property of Vexeom.
Reports are licensed to Members for personal, non-commercial use only. You may not reproduce, resell, redistribute, publish, or share Report content commercially. Reports must not be submitted to any third party — including airlines, employers, training organisations, or regulators — as evidence of any assessment, qualification, or professional suitability.
Vexeom and Command are trading names. Unauthorised use of these names, marks, or any Platform content is prohibited and may result in legal action.
Limitation of Liability
Without limiting the above, Vexeom accepts no liability for:
- Any career decision made in reliance on a Report or Platform content
- Any financial loss incurred in connection with flight training, employment, or career planning
- Any physical or psychological harm arising from decisions made in reliance on Platform content
- Any aviation incident, accident, enforcement action, or regulatory consequence connected in any way to Platform use
- Inaccurate Report outputs resulting from inaccurate, incomplete, or misleading input data
- AI system errors, hallucinations, or inconsistencies in generated Report content
- Platform downtime, data loss, or technical failures
- Third-party actions including those of payment processors, hosting providers, or AI infrastructure providers
Where liability cannot be excluded by law (including under the Consumer Rights Act 2015), Vexeom's total aggregate liability is limited to the total amount paid by you in the 12 months immediately preceding the claim.
Nothing in these Terms excludes liability for death or personal injury caused by Vexeom's negligence, or for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded under applicable law.
Aviation Regulatory Compliance
Vexeom content references aviation regulatory frameworks — including EASA FTL (EU 965/2012), CAA aeromedical standards, ICAO Annex 1, ICAO Doc 9683, and CAA CAP 1468 — for contextual and educational purposes only. Such references do not constitute regulatory guidance, compliance advice, or any official communication from any regulatory body.
Vexeom is not approved, endorsed, accredited, or recognised by the CAA, EASA, FAA, ICAO, or any national or international aviation authority. Vexeom Reports must never be used as evidence of regulatory compliance, aeromedical fitness, safety assessment, or professional qualification.
Vexeom is not a fatigue risk management system (FRMS) as defined under EASA FTL or UK equivalent regulations. It does not satisfy any statutory fatigue management, duty time reporting, or safety management obligation.
Acceptable Use
By using this Platform, you agree not to:
- Submit false, misleading, or fabricated information in any assessment
- Attempt to reverse-engineer, copy, or reproduce the Vexeom scoring methodology or AI prompt architecture
- Use Reports or Platform content for any commercial purpose without prior written consent
- Share account credentials or permit third parties to access your Member account
- Use automated tools, scrapers, bots, or crawlers to access or extract Platform content
- Submit assessments on behalf of third parties without their explicit, informed consent
- Misrepresent Vexeom Reports as official, regulatory, medically validated, or professionally accredited documents
- Use Platform content in any way that violates applicable law
Vexeom reserves the right to suspend or permanently terminate access for any User in breach of this section, without refund and without prior notice where the breach is serious.
Complaints Procedure
Step 1 — Submit your complaint
Email info@vexeom.com with subject line "COMPLAINT" including your name, account email, the nature of your complaint, and the outcome you are seeking. We will acknowledge receipt within 3 business days.
Step 2 — Investigation
We will provide a substantive written response within 14 business days of acknowledgement. Complex cases may require up to 28 business days, in which case we will notify you of the extended timeframe.
Step 3 — Escalation
If unsatisfied with our response, you may escalate to the relevant authority. For data protection matters: the Information Commissioner's Office at ico.org.uk. For consumer disputes: Citizens Advice or independent legal advice. These procedures do not affect your statutory rights as a Consumer.
Changes to These Terms
Vexeom reserves the right to update these Terms at any time. Where changes materially affect your rights or obligations, active Members will be notified by email at least 14 days before the changes take effect. Minor corrections may be made without notice. The "Last Revised" date above will always reflect the most recent update. Continued use after the effective date constitutes acceptance of the revised Terms.
Governing Law and Jurisdiction
These Terms are governed by the laws of England and Wales. Any dispute arising from these Terms, the Platform, or any Report shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where applicable consumer protection law in your country of residence grants you the right to bring proceedings locally.
Consumers resident in Scotland or Northern Ireland retain the right to bring proceedings in their local courts in respect of consumer rights disputes.

You are at least 18 years of age and have full legal capacity to enter into this agreement. You have read these Terms in their entirety and agree to be bound by them. You understand that Vexeom is a self-reported career planning tool — not a medical, regulatory, psychological, or professional advisory service. You understand that Reports are generated by an automated AI system with no human review prior to delivery. You accept that delivered Digital Content is non-refundable and that by requesting immediate delivery you waive your 14-day cooling off right. You consent to your assessment data being processed by Anthropic's AI infrastructure for Report generation. You consent to anonymised data being used in Vexeom's aggregated industry dataset.
